Privacy Policy — Oxford Text Archive

This policy (together with our terms of use and any other documents referred to in it) describes how we collect and use your personal data during your use of the Literary and Linguistic Data Service (LLDS) website in accordance with the General Data Protection Regulation (GDPR) and implementing national legislation. The Privacy Statement for the OTA repository also explains the use of data collected via federated authentication sessions, according to the guidelines of the UK Access Management Federation for following the GÉANT Data Protection Code of Conduct.

A. Who is using your personal data?

The University of Oxford (legal title: "Chancellor, Masters and Scholars of the University of Oxford") is the "data controller" for the information that we collect when you visit the OTA website. This means that we decide how to use it and are responsible for looking after it in accordance with the GDPR.

Access to your personal data within the University of Oxford will be provided to those staff who need to view it as part of their work in connection with the operation of the website. It will also be shared with the third parties described in Section E.

Please read the following carefully to understand our views and practices regarding how we gather and use your personal data. This policy may be updated at any time.

D. How we use your data

We process your data to serve our legitimate interests in operating and improving the site. Analysis of use ensures that we understand who uses our site; how our site is used; and how its provision and security might be enhanced.

We will only use your data for the purposes indicated. If we consider it reasonable to use your data for an unrelated purpose, we will seek your prior consent to use it for the new purpose.

We may share your data with third parties who provide services on our behalf, such as for administrative purposes. All our third-party service providers are required to take appropriate security measures to protect your data in line with our policies. We do not allow them to use your data for their own purposes. We permit them to process your data only for specified purposes and in accordance with our instructions.

We may share your personal data with third parties if we are under a duty to disclose or share your personal data in order to comply with any legal obligation; or in order to enforce or apply our site terms of use; or to protect the rights, property or safety of our site, our users, and others.

Where your data is shared with third parties, we will seek to share the minimum amount necessary.

F. Where we store or use your data

We may store data collected by the website manually or electronically. The data is stored on our secure servers and/or in our secure premises within the UK.

Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of data you transmit to the website, and any transmission is at your own risk.

Our site contains links to and from various third party websites. If you follow a link to any of these websites, please note that these websites have their own privacy policies and that we do not accept any responsibility or liability for these policies.
